Why is there a setup fee and a monthly fee?
The setup fee covers the initial build â training your AI on your actual business details, connecting it to your website or phone line, designing and configuring everything so it's accurate and useful from day one. The monthly fee covers hosting, running the AI, monitoring, and ongoing updates â whenever you change prices, add services, update hours, or run a promotion, we update your AI at no extra charge. It's not a one-off setup followed by silence.
Can I just pay the setup fee and not the monthly?
The monthly fee covers the hosting and infrastructure that keeps your AI running â the servers, the AI model access, monitoring, and updates. Without it, your chatbot or voice agent would stop working. Think of it like paying for website hosting or a phone line â it's a running cost, not a one-off purchase.
Is there a contract? Can I cancel anytime?
No long-term contract. You can cancel at any time â if you decide it's not for you, just let us know and we'll switch things off at the end of your current billing period. No hard feelings, no early termination fees. We're confident the results will speak for themselves.
What's the July offer?

No problem at all â the ÂŁ530 setup covers the first 5 pages, and additional pages can be added at ÂŁ50 per page. Just let us know what you need and we'll quote accordingly. E-commerce, booking systems, and customer portals are also possible, priced based on scope.
What if I only want the AI Business Assessment without committing to anything?
Absolutely. The AI Business Assessment is ÂŁ350 standalone â we'll walk through your business, identify where AI can help, and deliver a clear report with recommendations. There's no obligation to buy anything afterwards. It's genuinely useful even if you decide not to work with us.
Can I try before I buy?
Yes â we have live, interactive demos on our site for the chatbot, voice agent, and automation dashboard. You can walk through them right now, ask questions, and see exactly how it works before spending a penny. The demos are free and don't require any signup.
What payment methods do you accept?
Bank transfer and debit/credit card payments. We'll send you an invoice for the setup fee and set up a direct debit for the monthly fee. All payments are in GBP (ÂŁ).
AI Website Chatbot
How does the chatbot work?
It's a chat widget that sits on your website â your visitors see a small chat button (like Fiona on this site!), click it, and can ask questions or book appointments. The chatbot is trained on your actual business information â services, prices, hours, FAQs, booking process â so it gives accurate, helpful answers specific to your business. It can hand off to a real person if it gets stuck.
Does the chatbot work on mobile phones?
Yes â it's fully responsive and works on every device: desktop, tablet, and mobile. Over 70% of website visitors in Glasgow browse on their phones, so mobile support is built in from the start.
Can the chatbot take bookings and payments?
It can take bookings â the chatbot can check availability, collect customer details, and add appointments to your calendar (Google Calendar, iCal, or your existing booking system). Payment integration is possible for some businesses â mention it on your free call and we'll see if it fits your setup.
Do I need a new website to use the chatbot?
Not at all. The chatbot is a small piece of code that's added to your existing website â it works with any site builder (Wix, Squarespace, WordPress, GoDaddy, or a custom site). What if the chatbot gives a wrong answer?
We test everything thoroughly before it goes live. But if something slips through â if you change a price or add a new service â just let us know and we'll update it. Routine updates are part of the monthly fee, not an extra charge. You also have a dashboard where you can review recent conversations and spot anything that needs correcting.
Does the chatbot learn from conversations over time?
Not automatically â it always answers based on the business information we've configured. This is intentional: we don't want it picking up bad habits or inventing things based on one-off conversations. If you notice recurring questions that aren't covered well, you tell us and we update it manually, so you stay in control of what your customers hear.
AI Voice Agent
How does the AI voice agent work on my phone line?
We forward your business phone number to the AI voice agent when you're busy or closed â or we add a new number that the AI answers. When someone calls, the AI speaks naturally, understands what they need (booking, prices, directions, etc.), handles it automatically, and sends you a summary afterwards. If the caller needs a real person, the AI can transfer them to your mobile or take a message.
Will my customers know it's an AI?
The AI voice agent sounds natural and conversational â most callers don't realise they're talking to an AI. We recommend being transparent if asked directly, which is good practice for trust and compliance. On the website chatbot, it's obvious it's an AI assistant and that's fine for that channel.
What if the call is urgent or complicated?
The AI is trained to recognise its limits. If something is outside its scope â a complaint, a complex technical question, a large group booking â it either transfers the call to you in real-time or takes a detailed message that gets sent to you immediately. You decide the rules: what counts as "urgent", what hours to forward, etc.
Can I keep my existing phone number?
Yes. You can keep your existing business number â we port it or forward it to the AI service. If you'd prefer, we can also set up a second number that the AI answers while your main line remains unchanged. Either way works, we'll advise on the best setup during your free call.
Does the voice agent have a Scottish accent?

What do I get with a Custom Website?

Hosting and domain support are included in the monthly fee, so there are no separate hosting bills to worry about.
Can you update my existing website instead of building a new one?
Yes â we can revamp an existing site, add the chatbot, redesign pages, or improve performance. Get in touch and we'll scope it out. If you're on a platform like Wix or Squarespace, we can work with that too.
What if I need more than 5 pages later?
No problem â additional pages are ÂŁ50 each. We can also add e-commerce, online booking, customer portals, or any other features as your business grows. Your site isn't locked in â it grows with you.
Do I own the website and content?
Yes â you own the site, the design, and all the content. If you ever decide to leave ScotReach, you take the website with you. The ÂŁ71/month covers hosting and maintenance; if you move to another host, that monthly fee stops.
AI Business Assessment
What happens during the AI Business Assessment?
We spend about 30-45 minutes with you (in person in Glasgow or over a video call) walking through how your business currently handles enquiries, calls, bookings, and admin. We identify where leads are being missed, where time is being wasted on repetitive tasks, and which of our services would make the biggest difference for you. You get a short, clear report with recommendations â no jargon, no fluff.
Is the assessment really free with a plan?
Yes â if you sign up for any ScotReach service (chatbot, voice agent, automation, website, or training), the AI Business Assessment is included at no extra cost. If you want just the assessment on its own, it's ÂŁ350. Either way, there's no obligation to buy anything else.
What if the assessment says I don't need AI?
Then we'll tell you honestly. We're not here to sell something that doesn't fit your business. If you're already handling everything well and AI wouldn't move the needle, we'll say so. We'd rather earn your trust than your money.
AI Implementation Training
Who is the training for?
Business owners, managers, and their teams who want to understand and use AI tools in their daily operations. No technical background is needed â we explain everything in plain language and focus on practical, hands-on use. The session is tailored to your specific business and the tools that would help you most.
What's covered in the half-day session?
The session covers: an overview of AI tools available for small businesses, hands-on practice with chatbots and voice agents, how to use AI for admin tasks and customer follow-ups, setting simple automations, and understanding common AI mistakes to avoid. You'll leave with practical notes and resources you can refer back to.
Can training be done at my business premises?
Yes â we come to you. We can do the session at your business premises in Glasgow (or within a reasonable travel distance). We just need a room with a screen and wifi. If you prefer a video call session, that works too and we can reduce the price slightly since there's no travel involved.
Setup & Onboarding
How long does setup take?
It depends on the service: the AI Website Chatbot takes 2-3 days from signup, the AI Voice Agent takes about a week (carrier setup can add a few days), Custom Websites take 1-2 weeks depending on complexity, Business Automation depends on how many systems we're connecting, and the AI Business Assessment can be delivered same-day if booked early. AI Implementation Training is scheduled at your convenience.
What information do you need from me to get started?
For the chatbot: your services list, prices, opening hours, FAQs, and any booking process details. For the voice agent: the same plus how you want calls handled. For websites: your brand colours, logo, text content, and any images you'd like to use. For automation: a walkthrough of your current tools and processes. We'll guide you through everything step by step â you don't need to prepare anything in advance.
Do I need to be involved during setup?
Minimally. We'll need an initial chat to understand your business, then we'll send you a draft to review and approve before anything goes live. After that, we handle the technical work. You'll be kept in the loop but won't need to sit through hours of setup calls.
What if my business has multiple locations?
That's fine â we can configure your AI to handle multiple locations with different hours, services, and phone numbers. Each location can have its own chatbot settings, and the voice agent can route calls based on the customer's location or needs. Just let us know the details and we'll set it up.
After Going Live
How do I know the AI is working well? Do I get reports?
Yes â you get access to a simple dashboard that shows: how many conversations the AI has handled, how many bookings or leads were captured, what questions customers are asking most often, and how many were handed off to your team. For the voice agent, you also get call summaries and recordings (with consent). We also check in with you regularly to make sure everything's running smoothly.
What if my prices or opening hours change?
Just let us know â updating your AI is part of the monthly service. New prices, updated hours, seasonal promotions, or new services are all covered at no extra charge. It usually takes us a few hours to update everything.
What happens if the AI goes down or has a problem?
We monitor all our systems 24/7. If something goes wrong â the chatbot stops responding, the voice agent isn't picking up, etc. â we're usually aware and fixing it before you notice. If we do need to take something down for maintenance, we'll let you know in advance. We also have automatic fallbacks: if the AI can't reach its servers, it will politely tell the customer to leave a message or call back during your hours.
Can I see the conversations customers are having with the AI?
Yes â you get access to a conversation log where you can read recent interactions, see what customers are asking, and spot any trends. For the voice agent, you get transcripts and summaries of each call. This is actually one of the most useful parts â you'll learn what your customers are really asking about.
Can I add the chatbot to my Facebook or Instagram?
Yes â we can integrate the chatbot with Facebook Messenger, Instagram DMs, and WhatsApp so customers can message you across any platform and get the same consistent answers. This is an add-on feature â mention it on your free call if you're interested.
Do I keep my existing website if I get a new one built?
Absolutely â you own the website and all its content. If you decide to move to a different provider in the future, we'll hand over everything you need. The ÂŁ71 monthly fee is for hosting and maintenance; if you leave, that fee stops and you take the site files with you.

Is customer data safe with ScotReach?
Yes. Conversations are encrypted in transit and at rest. We don't sell or share your customer data with anyone. You can request a full data export or deletion at any time. We also have a full privacy policy that covers exactly what data we handle and how.
Is the AI compliant with UK data protection laws?
Yes â we operate in full compliance with UK GDPR and Data Protection Act 2018. Our AI models are hosted on infrastructure that meets UK data security standards. Customer conversations are not used to train public AI models. We've also published an AI transparency notice covering how AI processes data in our services.
Do you have a privacy policy and terms of service?

What if I want to delete my data?
You can request full deletion of your business data and customer conversation history at any time. We'll process it within 30 days as required by UK GDPR. Just send us an email or mention it on your call.

What happens after the free call?
If you decide to move forward, we'll agree on the service(s), send you a simple proposal with pricing, and start the setup process. We'll collect the information we need from you (services, prices, hours, etc.), build everything, send you a preview to approve, and then launch. If you need time to think about it, no pressure â we'll follow up when you're ready.
Do you work with businesses outside Glasgow?
We primarily serve Glasgow businesses because we're local and we understand the area. But yes â we can work with businesses anywhere in Scotland or the UK.
